Greetings!
Please find below our TJA Event Regulations for 2012.
We want to encourage our full members to be proactive in either organizing or joining events. We are still so far spread out that it makes it difficult for us to organize large events for TJA. That is why we ask that you review the Regulations and when an opportunity arises for an event, you can then reference them here to help you plan your event.
If you have any questions, please feel free to ask any Council member for help.
The Jedi Assembly Event Regulations
As The Jedi Assembly evolves, opportunities to volunteer as an organization at large conventions, local Star Wars events, and even Lucasfilm sponsored events will become available. At certain cunctions however, only "canon" Jedi costumes will be allowed. This will usually not be a requirement set forth by the Jedi Council, but the organizers of the respective events. Such requirements for canon-only costumes are common for other successful Star Wars costuming groups, such as the 501st.
1. All Jedi costumes acceptable for membership into The Jedi Assembly will be acceptable for volunteering at events, UNLESS the event organizers specifically request canon-only costumes.
2. When canon-only costumes are required, decisions pertaining to the suitability of a member's costume will be administered either by the event organizers or by the ranking Assembly member in attendance (CO, XO, Council member, Order Master, or their appointed representative). The decisions made by these individuals are FINAL!
3. Canon costumes must be an accurate representation of Jedi costumes found in the following sources: any of the six Star Wars films (including those from deleted scenes on DVD releases), movie novelizations, and the Clone Wars cartoon series.
4. Non-canon costumes include any costume that is not an accurate representation as described above (i.e., a completely original Jedi costume), or a Jedi costume from concept art, adaptations or unofficial items. In particular, the Expanded Universe and video games are not considered canon. However, if a situation requires canon-only costumes, event organizers will be asked if Expanded Universe costumes are acceptable.
5. All officially planned TJA events must meet with the Jedi Council for approval.
6. Members must wear their Jedi Assembly approved costume at
official events. If you are awaiting membership, your Order Master can approve a new costume for the event. If a costume is not required, then TJA t-shirts may be worn.
7. Credits (money) are never to be taken for participating in an event. If the establishment insists, ask them to please make a donation to a charity such as Make A Wish Foundation, Children’s Miracle Network, United Way, Red Cross etc.
8. TJA behavior standards apply while in costume and participating in an event.
Please refer to Article IV in the Jedi Code.
9. ID badges can be worn when doing an event, but may detract from the overall look of your costume. Keep this in mind when posing for photographs.
10. Events should only be planned and initiated for the purpose of membership recruitment, LFL sponsored activities/events and charity fundraising. You want to have fun at what you do as well.
11. The Jedi Council requests that Lightsaber fighting not be started or participated in due to safety reasons. Contact a Council member for further details.
12. Cell phone numbers should be provided for members manning volunteer tables.
13. The Order Master or Jedi Council should be kept informed of your event details at all times.
14. Keep a record of everything so that it can be referred to and repeated another time.
15. Call potential partners (501st/Rebel Legion) to seek participation, fellowships and partnerships.
16. Pack an "emergency kit" with any miscellaneous materials you may need (tape, scissors, stapler, pens, pencils, paper, phone numbers of speakers, costume repair kits, extra batteries, etc.).
17. Send thank you letters to sponsors and/or guest speakers.
18. Contact organizations that hosted the event to discuss potential further collaboration.
19. Photograph your activities. Select an individual to be the official event photographer. Choose the best one or two photos and write a descriptive caption, including the names of those members pictured. Send your photos to banthatracks@starwars.com for possible inclusion in the on-line or print version of Bantha Tracks.
